Information Officer

What we collect
- When you contact us through a form, by phone, email or WhatsApp: your name, phone number, email address, suburb, property details and what you tell us about the job.
- When we quote or work on site: the property address, access arrangements, the people we deal with (for a complex, the trustees or managing agent), photos and notes about the equipment, and billing details.
- When you visit this website: technical information such as your IP address, browser and the pages you view. Cloudflare, which hosts the site, processes this to deliver pages and block abuse, and its Turnstile check on our forms confirms a visitor is a person. Google Analytics, loaded through Google Tag Manager, records how the site is used.
Why we use it
- To reply to enquiries, arrange site visits, quote and carry out work (to take steps towards and perform a contract with you).
- To keep job, guarantee and accounting records, including tax records we must keep by law.
- To keep the website working and secure, and to understand which pages are useful (our legitimate interest in running the business).
- To send a customer information about our own similar services, which you can stop at any time. We do not send other direct marketing without your consent.
Security systems we install and service
Camera footage, access control logs, intercom numbers, and fingerprint or facial templates on a system belong to our client: the homeowner, body corporate, estate or business. When we install or maintain those systems we process that information only on our client's behalf, as an operator under POPIA. We look at footage, logs or user lists only as far as the job needs, we do not copy or keep footage or biometric information, and we keep what we see confidential. Biometric information is special personal information under POPIA, and the client decides who is enrolled, who can view footage and how long it is kept.
Who we share it with
- Service providers that run our systems: Google (email, through Google Workspace, and analytics), Cloudflare (website hosting, security and the delivery of form messages) and our accountant.
- Manufacturers and suppliers, when a warranty claim needs your details.
- Authorities, when the law requires it.
Google and Cloudflare may store and process information on servers outside South Africa. They are bound by data-protection agreements and laws that give protection comparable to POPIA, as section 72 of the Act requires.
Cookies and analytics
We use Google Analytics to count visits and see which pages help people. Analytics cookies are set on your device for this. Advertising storage and personalisation are switched off by default, and we do not use the site for advertising profiles. You can block or delete cookies in your browser settings; the site works without them.
How long we keep it
- Enquiries that do not lead to work: deleted within twelve months.
- Quotes, job cards, contracts and invoices: five years after the work or contract ends, to meet tax and record-keeping rules and to support guarantees.
- Analytics data: kept in Google Analytics in aggregate for its standard retention period.
How we protect it
We keep personal information in password-protected business systems, limit access to the people who need it, and use providers that encrypt information in transit. If we learn that personal information has been accessed without authority, we will tell the Information Regulator and the people affected as POPIA requires.
Your rights
- Ask whether we hold personal information about you and request a copy.
- Ask us to correct or delete information that is wrong, out of date or no longer needed.
- Object to us using your information for our legitimate interests or for direct marketing.
- Withdraw consent you have given, without affecting what was done before.
Send requests to our Information Officer at the email address above. Requests for access to records can also be made under the Promotion of Access to Information Act (PAIA). We may need to confirm who you are before acting on a request.
