Questions trustees and managing agents ask
How much does a maintenance contract cost?
It is a fixed monthly fee, quoted for your property after we have walked it, because it depends on the length of the perimeter and the systems on site. The proposal sets out the fee and the scope so the trustees can approve it and compare it with another quote.
How long is the contract, and how do we get out of it?
Twelve months at a fixed fee, reviewed before renewal. Either side can cancel with one calendar month's written notice. Where the Consumer Protection Act applies to your scheme, its rules on fixed-term agreements apply as well.
What is not included in the monthly fee?
Replacement equipment such as a new gate motor or energiser, damage by vehicles or vandals, cutting back vegetation, and call-outs beyond the monthly allowance. All of these are quoted in writing before any work starts.
What if you do not deliver what the contract says?
Tell us in writing and we have 72 hours to put it right. You may hold back that month's payment until we have, which gives the trustees real leverage.
Can you take over from our current contractor?
Yes. We start with an inspection and a written report on the condition of every system, so the trustees know what they are taking on. Guarantees on someone else's work do not transfer to us; anything we repair carries our 24-month workmanship guarantee.
We manage several schemes. Can you work across our portfolio?
Yes. Each scheme has its own contract and job cards, in the same format, so your portfolio managers see the same information for every property.
Do you maintain systems at business premises too?
Yes. Offices, warehouses, business parks and retail sites get the same planned visits and job cards, scheduled around trading hours.
Do residents need to be home for the visits?
No, but we need access to the whole perimeter and every stand on visit days. The trustees or managing agent arrange that, and the job card is left at the guardhouse or sent to you.
